Prevent Call Conflicts with Teams and Nextiva

How to Configure Microsoft Teams to Prevent Call Conflicts with Nextiva

Overview

When both Microsoft Teams and Nextiva are installed, your computer treats them as separate calling apps. If you’re on a Nextiva call, Teams may not automatically recognize that you’re busy and can allow incoming Teams calls to interrupt.

This article walks through recommended Microsoft Teams and system settings to reduce call conflicts and ensure Nextiva remains your primary voice application while Teams continues to function for collaboration.

Why This Happens

  • Nextiva and Microsoft Teams operate independently.

  • Teams does not always detect active calls placed through Nextiva.

  • As a result, Teams may ring, grab audio devices, or interrupt an active Nextiva call.

Access Microsoft Teams Call Settings

Applies to: Microsoft Teams (Desktop App – Microsoft 365 Business)

    1. Open Microsoft Teams (desktop app)

    2. Click your profile picture (top-right)

    3. Select Settings

    4. In the left menu, select Calls

This section controls call handling, voicemail, and ringing behavior.

Configure Call Handling to Reduce Interruptions

Recommended Settings

  • Forward all calls: Off

  • When you’re in a call and receive another call:

    • Redirect as if call is unanswered

  • When you can’t answer a call:

    • Redirect to voicemail

  • Ring for this many seconds before redirecting:

    • Set to the lowest available value (example: 5 seconds)

  • Ringtone: User preference

These settings prevent Teams from continuing to ring while you are already on an active call.

Configure Teams Voicemail

Standard Voicemail

  • Record a custom greeting or use text-to-speech

  • Select a greeting language

  • Set call redirect behavior

    • Recommended: Let the caller record a message

Out-of-Office Voicemail

Teams supports a separate Out-of-Office greeting.

  • When should your greeting play:

    • Recommended: When Outlook automatic replies are enabled

  • Record or customize the Out-of-Office greeting as needed

Additional Settings to Prevent Teams from Interrupting Nextiva

    1. Manually Use “Do Not Disturb”

Teams and Nextiva do not always sync presence correctly.

Best practice:

  • Before starting a longer Nextiva call, manually set your Teams status to Do Not Disturb.

  • This silences Teams calls and notifications until you switch the status back.

    2. Disable the Teams Secondary Ringer

Teams may ring through speakers even when a headset is in use.

         1. Open Teams → Settings → Devices

         2. Scroll to Secondary ringer

         3. Set the option to None

This prevents loud Teams ringtones during a Nextiva call.

    3. Disable “Click-to-Call” Browser Behavior

Some browser extensions force phone links to open in Teams.

  • Disable Microsoft Teams or Skype browser extensions

  • This ensures phone numbers open in NextivaONE instead of Teams

    4. Adjust Teams Audio Device Behavior

Teams may attempt to take control of your headset.

         1. Open Teams → Settings → Devices

         2. Set Audio devices to your specific headset (not “Default device”)

         3. Disable Sync device buttons

This prevents headset buttons from placing Nextiva calls on hold.

Alternative:

  • Use separate devices (e.g., headset for Nextiva, speakers for Teams)

    5. Adjust Windows Communications Settings

Windows may lower audio volume when it detects call activity.

         1. Open Control Panel → Sound

         2. Select the Communications tab

         3. Choose Do nothing

This prevents Windows from reducing Nextiva audio when Teams activity is detected.

    6. Mobile App Considerations (If Using a Smartphone)

If both apps are installed on a mobile device, Teams may interfere with call handling.

         1. Open Teams → Settings → Calling

         2. Disable Integrate with system caller (or similar option)

         3. Verify Call Forwarding is not enabled to your mobile number

This avoids conflicts with the Nextiva mobile app.

Final Result

With proper call handling, audio device configuration, and use of Do Not Disturb when needed, NextivaONE remains your primary, uninterrupted calling platform, while Microsoft Teams continues to function normally for messaging and collaboration.
