AI-Enhanced Technician Note Rewrites

Autoflow’s AI enhancements are designed to assist technicians and service advisors in creating more comprehensive and easily understandable notes from their inspections.

Our aim is to reduce the amount of time it takes to improve clarity in communication with clients while retaining the personal touch that emphasizes trust and transparency.

How to Use the AI Features

Best Practice

In ideal inspection process, Service Advisors will review all digital inspection results before sending to clients.
As a part of this review process, Advisors have been encouraged to modify notes to make them simple for clients.
Now, Advisors can click the AI button on any notes to prompt enhancements in no time!
The feature is not limited to advisors.

Technicians also have access to the AI button.

Notice: The AI button will not write a note for you.  Users must enter a note before suggestions can be prompted.
Notice:  There is a limit of three queries per line.

Accessing AI Suggestions

  1. Each line item in the DVI includes an “AI” button.
  2. If a technician leaves a brief or unclear note, click the “AI” button.
  3. The button generates a more detailed suggestion based on the original note.

Accepting and Modifying Suggestions

  1. Staff can modify the AI suggestion, or accept it as is.  (You can always modify it later!)
  2. AI can expand suggestions, such as detailing implications of low transmission fluid, or make a longer message more concise.
  3. After making changes or accepting, hit “Accept” to store the note.
  4. The system indicates that the note was generated by AI, ensuring accountability.
  1. Color coding and mouse-overs make it simple to see which notes were revised using AI.
  2. green icon appears next to notes when a staff member accepts an AI suggestion without modification.
  3. If modifications are made to an AI-generated note, a blue icon will be displayed.

AI Note Usage Indication

AI models can be prone to inaccuracy and users are always encouraged to review notes before accepting them.
User activity with the AI is tracked in Autoflows DVI Change Log.
  1. All interactions using the AI feature are logged with user, date, time, and the note accepted (or modified).
  2. Change Log data is preserved with inspection data and accessible any time after a visit.
  3. You can search the Change log with key words to isolate and review specific notes.

Customer Presentation

  1. Because human review is integral to the process – there are no indications of AI involvement in the client-facing portion of Autoflow.
  2. Clients will not see labels or prompts suggesting AI participation.
  3. Clients receive a polished and well-articulated inspection report.
  4. This approach fosters transparency and trust with clients.
  5. The objective is to maintain a human touch in communication.

Privacy

 
No personally identifiable information is used in generating prompts.
The items autoflow uses are:
  1. Year, Make, Model
  2. Mileage
  3. Line item title
  4. Original note on findings or recommendations
The AI model used is not training on the prompts. 
No information on accepted or modified prompts or the user and their activity with the AI is shared.
The AI system is merely providing suggestions for staff members to accept, or reject.
